Accounts Payables Automation Global Implementation
Prologis is the world’s largest owner, manager, and developer of distribution facilities, with 542.3 million square feet (50.4 million square meters) of industrial space in 132 markets across North America, Asia, and Europe. Prologis leases industrial space to manufacturers, retailers, transportation companies, third-party logistics providers, and other enterprises with large-scale distribution needs. Headquartered in Denver, Colorado, Prologis is a Fortune 500 company and a member of the S&P 500.
Prologis extended Elire’s contract to focus on implementing the outcomes from our Phase 1 engagement which focused on future state design, implementation, and support of their initial Accounts Payable Implementation. In this next phase, the goal was to create a unified Accounts Payable (AP) automation solution across all international locations for Prologis, engaging employees in an efficient and effective manner. There was significant importance and emphasis on developing an end-user adoption and engagement strategy amongst employees in North America, the EU, and Asia. Elire partnered with Canon on building the system leveraging the software solution Canon produces to include key data integration points such as data cleanup, technical architecture setup, custom field requirements, and solutioning technical errors that were encountered.
Due to the nature of the global project and the intricate rollout requirements, working within the constraints of multiple time zones and time differences proved to be quite a challenge. Navigating difficulties such as coordinating global working hours that are accommodating the team, managing tight deadlines, and overseeing multiple workstreams were common occurrences. The departure of key personnel had a significant impact on security considerations.
Further requirements included ensuring security would be met on an end-to-end basis, which is necessary in the highly volatile cyber space. This added intricacy, however, was key to documenting security requirements on a global scale.
Elire was able to deliver Prologis Canon’s automated Accounts Payable system that produces accurate and efficient automated processing. The project was successfully delivered on time and on budget. Elire addressed each of the original project goals and ensured that the project remained on track. This helped to eliminate scope creep throughout each step of the project.
All current state disconnects were discussed and addressed, and the Elire team provided solutions which included updates to Prologis’s invoice intake process, payment terms, and faulty supplier data. From the beginning, the team made sure that the future state goals and initiatives were well designed and thought-out to ensure that any previous challenges were addressed. As a result, Prologis now experiences a significant reduction in their manual processing work due to their new and automated solution.
