Oracle PeopleSoft HCM HR and Benefits Support 

Scope of the Project

Desert Diamond Casino (DD), a leader in the casino and gaming industry, engaged Elire to support their Oracle PeopleSoft HCM (Human Capital Management) system after dissatisfaction with their previous consultant. The initial engagement was focused on providing production and issue support for their core HR modules in PeopleSoft, ahead of their upcoming Open Enrollment (OE) period for 2025.  

The project involved configuring OE, evaluating their benefits setup, and ensuring that all processes were documented and optimized for day-to-day and Open Enrollment tasks. As part of this engagement, Elire created a comprehensive Open Enrollment Configuration Guide from scratch. This guide included screenshots from system tables, detailed setup values, and step-by-step directions on configuring the tables. This documentation was invaluable for Desert Diamond, as it provided them with a clear and structured resource for managing OE setup, troubleshooting, and ongoing operations – something they had never had before. 

The Challenge

Desert Diamond had faced significant challenges with their previous consultant, who failed to provide adequate documentation or clear explanations for resolving issues or understanding system configurations. As a result, Desert Diamond was still encountering problems and had no reliable documentation to reference for troubleshooting or future configurations. 

When Elire stepped in, there was very little documentation available, and what existed was outdated. This presented a major challenge for the Elire team, as they had no starting point to analyze the current system configuration. Elire had to begin from scratch, relying solely on what was being produced by the system to diagnose issues and understand the setup. 

Additionally, the compressed timeline added pressure to the project. With the OE period approaching, everything had to be accelerated, including payroll deduction testing to ensure configurations were correct. Despite these challenges, Elire’s deep expertise in OE and Benefits Administration ensured the project stayed on track and was successfully completed. 

One of the key inefficiencies Elire addressed was correcting misconfigurations from previous setups. Events in the system were often stuck in the wrong status, either not opened or closed properly. This created data integrity issues and impacted employees’ records. Elire reprocessed these events to clean up the data and ensure accuracy in the system and on employee records. Additionally, reports like BAS0027 were effectively utilized for investigating exceptions, ensuring smoother processes for Open Enrollment. 

Success Delivered

Elire delivered a successful Open Enrollment project, which was tested and run in production with oversight from the Elire team and active participation from Desert Diamond employees. The project was completed on time and within budget, with the OE election period running smoothly from August 12th to August 28th, 2024.  

Notable achievements included the creation of a comprehensive OE Configuration Guide, which empowered Desert Diamond’s team with detailed instructions and troubleshooting tips. Additionally, Elire provided training on PeopleSoft Ben Admin and guided the team in processing and reprocessing events. 

Key efficiencies gained by Desert Diamond’s staff included: 

  • Access to a detailed OE Configuration Guide for future use 
  • Improved ability to manage Ben Admin and event processing 
  • Resolution of previously misconfigured data through event reprocessing 
  • Enhanced understanding of delivered reports like BAS0027 for managing exceptions 

 

The Desert Diamond team responded very positively to the new OE Configuration Guide and the training provided by Elire. They were excited to have documentation they could easily refer to, with clear page shots and detailed instructions. The guide significantly improved their day-to-day operations, providing them with troubleshooting steps right at their fingertips. While Elire assured them they could always reach out for additional support, the internal team felt confident that the guide covered everything they needed. 

Elire continues to serve as a trusted advisor, and Desert Diamond remains on contract, awaiting the next phase of HCM support and optimization.
