Personal Data Modernization

Enhancing the HR Administrator Experience in PeopleSoft

In PeopleSoft Update Image 47, PeopleSoft HCM provides the Modernization and Fluidization of personal data functionality that makes the daily work of HR Administrators and HR representatives more productive. Key enhancements in HCM Image 47 include fluidizing Personal Data pages, configurable search, the ability to search for duplicate persons, the addition of an activity guide to streamline data entry, and the ability to add attachments within Personal Data. Here, we’ll dive into these key enhancements to working with personal data in PeopleSoft that elevates the HR Admin experience.

The first step in adding someone to the HCM system, whether an employee, a person of interest, or a contingent worker, is to provide their personal data. This includes vital information about the individual such as their national ID, ethnicity, and their address. HR Administrators now have a modernized user experience in PeopleSoft HCM that makes adding, changing, searching, and organizing personal data a more straightforward process. Where possible, data entry was made faster and more efficient by reducing the clicks necessary for making changes, such as when entering an address.

Starting with the Manage Human Resources tile, there are now six new fluid tiles available that can be used to manage person data: Add Person tile, Create Employee tile, Organization Relationship tile, Modify Person tile, Create Person of Interest tile, and the Create Contingent Worker tile. HR administrators can use these tiles to make the necessary adjustments and modifications to employee data. You can also now search for preexisting or duplicate entries based on key unique fields such as national ID, name, and date of birth. This ensures greater organization and can cut down duplicate entries of personal data, making it easier to search for the data in future.

The ability to attach documents to personal data entries for things like address verification for tax purposes is another key feature that Image 47 offers. Documents and attachments like degree verifications can be added when updating biographical details and will be associated with the person and their personal data. The HR Administrator can configure which sections can use attachments.

Image 47 sees the addition of an Activity Guide for streamlined data entry. A validation step within the Activity Guide has been added prior to submitting data to ensure accuracy. Additionally, a Summary of Changes at the end of the Activity Guide has also been added for admins to review changes before they are published. Page and Field Configurator and the addition of Drop Zones give HR administrators greater customization capabilities by allowing up to four new Drop Zones in Personal Data for entries specific to your organization.

Overall, the changes to Personal Data add greater ease of use and flexibility to users experience within PeopleSoft. The ease of edits to personal data, data entry, and customizations Page and Field configurator offer streamline the management of personal data in PeopleSoft. The introduction of Fluid in Person Data also contributes to ease of use.
