FSCM Peoplesoft Optimization and PUM/PeopleTools Update for professional services firm (Phase One) 

Scope of the Project

Guidehouse, a global professional services firm, sought to update, modernize and optimize its PeopleSoft Financial Supply Chain Management (FSCM) suite of applications. The goal was to bring the PeopleSoft application to a more current application release (PUM 48), complete a PeopleTools Upgrade (8.60), and ensure the continued alignment of their PeopleSoft system with evolving business needs while streamlining operational processes through customization removal and leveraging best practices.  

This initiative was requested by Guidehouse’s leadership following its recent acquisition. The acquisition highlighted the importance of modernizing critical systems to meet organizational growth and evolving strategic goals while reducing application maintenance costs.   

Furthermore, the project aimed to reduce customizations and introduce new PeopleSoft application capabilities to better optimize the available capabilities within the system. An example of these new application features included the use of fluid applications across targeted application areas and incorporating newer functions like Notification and Delegations Frameworks. These enhancements would collectively modernize the application, delivering significant value to Guidehouse. 

The Challenge

The PeopleSoft FSCM optimization and Get Current PUM/PeopleTools project presented several key challenges that required careful navigation. One of the primary obstacles was client resource constraints, which required a collaborative approach. Elire worked hand-in-hand with Guidehouse to address knowledge gaps, as the organization had just been acquired and was in the midst of developing new business processes. 

Existing customizations further complicated the update process. Many of these customizations were integral to Guidehouse’s business model, and while the goal was to reduce them wherever possible, certain customizations had to be retained. To minimize the customization footprint, Elire implemented strategies that included utilizing the Page and Field Configurator, Event Mapping, and Drop Zones. These approaches aimed to streamline functionalities while ensuring necessary adaptations were preserved. 

Additionally, the project faced complexities related to mobile capabilities and Fluid functionality. Guidehouse previously customized the delivered look and feel of their classic PeopleSoft environment, which complicated the transition to fluid components. To resolve some of the fluid mobility challenges, Elire restructured the client branding to align more closely with delivered standards, ensuring compatibility with future versions and enhancing the overall user experience. 

Success Delivered

Team Elire successfully executed the “Get Current PUM” update, PeopleTools Upgrade, Fluid UI implementation, and further application optimization in July 2024. Elire met key goals set by the Guidehouse Steering Committee, which included reducing system customizations and shortening the month-end close process.  

The project successfully de-customized approximately 50% of the system by leveraging delivered PeopleSoft functionality and PeopleTools, significantly reducing complexity and enhancing maintainability. The team modernized time and expense management by implementing fluid functionality, which improved the user experience and operational efficiency. To further streamline processes, fluid approvals were introduced, simplifying workflows and accelerating application processing. 

The new Fluid layout offered Guidehouse a more modern, visually appealing, and intuitive interface. New PeopleSoft Fluid capabilities included: 

  • Access to PeopleSoft applications from any device, improving accessibility for remote work and on-the-go tasks. This was especially impactful surrounding Fluid Workflow Approvals and Expense Fluid entry 
  • Utilization of OpenSearch across fluid components – providing powerful search capabilities that allow users to quickly find information across the PeopleSoft environment, including transactions, reports, and help resources 
  • An intuitive interface that’s easier to learn – reducing training time and costs 
  • Better analytics, specifically PeopleSoft Fluid Dashboard and Insights, for more informed business decisions and stakeholder updates 
  • Updated security features, including role-based permissions and page-level security to protect data on various devices 
  • Alignment with Oracle’s latest updates, improving system performance and ensuring compliance with evolving business needs 

 

Attachments functionality was configured across various areas of the application, enabling seamless document management. Additionally, new functionality implementations allowed AR statements to be emailed, enhancing communication and reducing manual effort. A major highlight of the project was the introduction of the Greenhouse Gas Analysis Report, a comprehensive report listing all expenditures (Accounts Payable and Expenses) for a specified period. Each expenditure is tied to an EPA code based on the GL account, enabling the Finance team to analyze and measure Guidehouse’s greenhouse gas contributions.  

Throughout the project, Elire’s proprietary Accelerator Tools were utilized for identifying current state customizations and managing project scope. By offering a mechanism for tracking key scope related decisions around customizations and available new or under-utilized features, Elire’s Scope Object Tracker accelerator tool streamlined the optimization of Guidehouse’s PeopleSoft FSCM suite. 

These system enhancements and new functionalities enabled Guidehouse to fully leverage their PeopleSoft investment while reducing complexity and improving overall usability. Guidehouse went live with the upgraded applications, and the primary hypercare phase was completed within the expected timeframe. The success of the project created the foundation for continued operational efficiency in the future.
